PTO Meeting

September 12, 2005

 

President Poleane Knight called the meeting to order at 6:30 p.m.   Jackie read the minutes from the last meeting.  Karen moved and Rhonda gave the second to approve the minutes.  All were in favor.

Everyone introduced themselves.  Rhonda mentioned that this year anyone who wants money from the PTO should come prepared with information about, including the cost of, the item or items that they want. 

The treasurer’s report was looked over by everyone.  Jackie questioned whether the storage unit for the D’Nealion die cuts was included.  Rhonda pointed out that Terry was looking into a price for these and the purchase had not been approved yet so it is not in the treasurer’s report.  Jackie moved and Kelly gave the second that the treasurer’s report be approved.

The teacher representative for this school year will be Pat Davies.  She had turned in a request from Jay Wendelin for $1800 toward the purchase of new chairs in the computer lab.  There was some discussion and some thought that the school should pay for expenditures of this kind.  Poleane added that a wish list would be requested from the teachers that would include things that they would like to have this year.

OLD BUSINESS.  Jackie reported that the school directories have been typed and just need to be printed and assembled.

NEW BUSINESS:  Mrs. Cardin had requested money from the PTO to pay for her students to go on a field trip on 9-13-05.  The cost per student would be $4.  Poleane suggested that the PTO increase the amount that it pays for each student to go on field trips.  Her suggestion was that the PTO pay $4 per student, an increase from the $2 that has been paid in the past.  Jackie motioned that this increase be made.  This would be for every class in the school K-8.  Karen provided the second.  All were in favor.

The following basic budget was proposed for this year:

Old Fashion Day   $750

Teacher Appreciation $200

Teacher birthday’s $30

Secretary’s Day $25

Library books $2000

Project Graduation $100

7th & 8th grade dinner dance $500

Achievement test snacks $100

Field trips $4 per student

The D.A.R.E. officer is trying to get a speaker to come to East Peoria for the D.A.R.E program.  He is asking $200 from the Robein PTO to help pay for the speaker.  Jackie asked whether the speaker is coming to Robein School for the presentation, or just to the East Peoria area.  Poleane will find out if he is coming to the school to do the presentation.  Rhonda moved that if he is coming to the school to do the presentation that we give $200 toward this cause.  If he is not coming to the school then we will not donate.  Kelly provided the second.  All were in favor.

Poleane asked for a motion to approve the basic budget.  Christy provided the motion and Kelli Osborn gave the second.  All were in favor.

Poleane reported that Terry Newlan will do the Book Fair this year but she would like to step down after this year from being the chairperson of the annual fund raiser.

Delivery of this year’s fund raiser product will be on Sept. 28.  She needs 3 volunteers to help unload the truck.  It is not known what time the truck will be at the school.  She also needs help counting money when it comes in.

In a planning meeting there was discussion about the proceeds from the concessions that are run during basketball, volleyball, and scholastic bowl competitions.  Poleane and Rhonda thought it would be a good idea for the PTO to donate these proceeds to the school’s sports committee.  Karen made a motion that the proceeds from the concessions be donated to the school’s sports committee.  Kristi provided the second.  The motion passed.

Poleane proposed that the PTO, in an effort to show support and appreciation for jobs well done, offer $5 for meal money to those students who go to school related competitions.  These might include regional or state volleyball, basketball, science fair, scholastic bowl or spelling bee.  She also thought the PTO should offer to pay for rooms overnight if the competition requires an overnight stay.  The school used to pay for these things but does not do it anymore.  There was no need for a vote on this.  It will be told to the teachers and coaches and if there is a need they will come to the PTO on an individual basis and it will be voted on at that time.

Concerning the Book Fair, Rhonda suggested that we take the profit in money instead of books and split it among the teachers.  She suggested that we have a used book drive and the teachers could get books for their rooms in that way.  There was some discussion and it was brought out that the books the teachers pick from the Book Fair are specific to their classes and usually AR books that the students read to take AR tests.  This would not be true of donated books.  It was decided that a book drive be done, the teachers could go over the donated books and what they don’t take would be sold in a library book sale during the year.

Karen and Rhonda will be working on having Robein Rockets T-shirts made up to sell again this year.  It has been a couple of years since this was done and with new students there may be a need.

Kristi asked about whether there would again be a National Night Out against crime as in years past.  This was something that the East Peoria Police Dept. had done in the past.  There was not one this year.  Many thought it would be a good idea for a neighborhood cookout or something along those lines.  If someone got this going, PTO members all said they would be supportive.

Next meeting was set for Tuesday October 25th, 2005 at 6 p.m.

Jackie moved to adjourn the meeting, Karen gave the second, and all were in favor.  Meeting was adjourned at 7:40 p.m
